Parent Guide: How to Use NIVAA
Everything you need to get your child matched with the right tutor — from posting your first tutoring request to reviewing sessions and tracking your package.
You tell us what your child needs. Our coordinators find the best-fit tutors and present them to you — without revealing names or contact details upfront. Once you choose, your child's sessions are arranged and you can track everything in your dashboard.
Step 1 — Add your child
Before you can post a tutoring request, you need to add your child's profile so we can match them correctly.
- Sign in and go to My Children in your dashboard.
- Click Add Child and fill in your child's name, date of birth, and school level (e.g. Primary 4, Secondary 2).
- Save the profile. You can add more children at any time.
The more accurately you fill in your child's school level and current subjects, the better your tutor matches will be.
Step 2 — Post your tutoring needs
A posting is how you tell NIVAA what you're looking for. Think of it like a job ad — you describe what your child needs and what kind of tutor would suit them.
- Go to Post Needs in your dashboard.
- Select which child the request is for.
- Choose the subject (e.g. Primary English, Secondary Maths).
- Pick your preferred session length (60 or 90 minutes).
- Add available time slots for the week — pick as many as work for your family.
- Fill in any preferences: language of instruction, gender preference, or special needs support if relevant.
- Review your details and submit.
For English, Maths, and Science, you'll be asked a short set of questions about your child's current level before submitting. This takes about 2 minutes and helps us match you with a tutor at exactly the right level — not too easy, not too challenging.
Step 3 — Wait for tutor options
Once your posting is live, our coordinators review it and select the best-fit tutors from our pool. Tutors can also apply directly. You'll be notified when educator options are ready for you to review.
You'll see tutors as blind profiles — first name, subjects, experience, and languages only. Full names and contact details are only shared after you've chosen someone. This protects everyone during the selection process.
Step 4 — Choose your tutor
When educator options are ready, you'll see cards for each proposed tutor. Take your time reviewing them.
- Open My Postings and click on your active posting.
- You'll see one or more educator profiles. Each shows their subjects, years of experience, teaching style, and languages.
- When you've decided, click Schedule Trial Session.
- Choose 1–2 specific calendar dates and times for the trial session using the date picker.
- Click Confirm Trial Session. The educator will review your proposed dates and either accept or suggest alternatives.
There's no rush to choose. Review each profile carefully. Once you select a tutor, the other options are automatically withdrawn — so only confirm when you're ready.
Your first two sessions with a new tutor are discounted as part of NIVAA's trial package. This gives your child time to settle in before you commit to a full schedule.
Step 5 — Manage your sessions
After your tutor is confirmed, sessions will appear in your child's calendar. Here's how to stay on top of them.
- Go to Family Sessions and optionally filter to one child if you want a child-specific view.
- You'll see upcoming sessions with date, time, and tutor name.
- After each session, you'll receive a prompt to confirm it happened. Tap Confirm Session Happened within 2 days.
- If something was wrong — the session didn't happen, or the time was incorrect — use Flag Issue instead.
- Approved sessions are automatically deducted from your package balance.
You have 2 days after a session to confirm it. After that, the window passes and coordinator intervention is needed. A quick tap keeps everything running smoothly.
Step 6 — Track your package balance
NIVAA works on a prepaid session package model. Each confirmed session uses one session from your balance.
- Go to Billing in your dashboard.
- The Package tab shows how many sessions remain, how many have been used, and which child they were for.
- When your balance runs low, you'll see a warning banner. Contact your coordinator to top up.
- Invoices tab shows your payment records.
- Sessions tab shows a full history of every session and its current status.
Sometimes your tutor may run an extra session for exam prep or make-up purposes. These are marked separately and may be billed differently — your coordinator will explain the terms.
Step 7 — Raise issues or disputes
If something isn't right — a session that didn't happen, incorrect timing, or a concern about your tutor — there are two ways to raise it.
- Flag a specific session: Go to My Children → Sessions → click the session → Flag Issue. Describe what happened and submit.
- Dispute an invoice line: Go to Billing → Invoices → open the invoice → select the sessions in question → click Dispute and describe the issue.
- Your coordinator will review and respond. You can track open issues in the Ticket Centre tab.
